Job Description
The Bookkeeper/Accounting Assistant is responsible for performing a variety of bookkeeping and accounting duties including financial record keeping and transactions including accounts payable, receivable and general ledger. In addition the Bookkeeper/Accounting Assistant will also be responsible for posting information to accounting journals/software from source documents like invoices to customers, cash receipts and supplier invoices. Seeking an applicant with strong knowledge in Quickbooks Online, as well as Pay Pal, Online Banking and Payment Routing from Third Party Programs (Ticketing Platforms, Online Forms, etc).
This is an hourly part-time position averaging 15 hours per week.
Duties and responsibilities
In-Office Responsibilities:
- Day-to-day business transactions: verifying, allocating and posting transactions into proper accounts, ensuring that each has proper documentation (sales slips, invoices, receipts, check stubs, etc.). Involves daily entries in both Accounts Receivable and Payable Journals, summarizing appropriate details in the specific ledgers
- Collecting past-due receivables
- Reconciling bank statements
- Annual IRS filing and financial review: assisting Office Manager to provide necessary financial reports, as requested, to organization’s CPA and working with organization’s CPA on quarterly financial reviews as requested by the Office Manager and Executive Director
- Review performer and facilities contracts
- Daily mail collection and distribution
- Assist Office Manager in processing of lease agreements and memberships
- Assist Office Manager and other staff with clerical tasks as requested
- Assist Office Manager to prepare Board of Directors’ meeting packets
- All other duties as assigned
On-Site Event Responsibilities
- Assist Office Manager at ticketing and/or information booths
- Manage cash and credit/debit card transactions
- Oversee Volunteers at main and raffle ticketing booths
- Assisting with event set-up
- Other duties as assigned
Qualifications
- Passion for Arts, Culture, and Community
- Bachelor’s degree in accounting or related field preferred; significant experience can substitute for degree
- At least 1 year of accounting or bookkeeping experience in the last 5 years
- Extremely proficient in latest versions of Microsoft Word, Excel, Publisher; working knowledge of mail merges, email, and internet searches
- Able to lift and carry at least 20 lbs
- Excellent oral and written communication skills
- Excellent organization skills
- Ability to accomplish projects with little supervision
- Experience with Quickbooks Online
- Valid Driver's License
